Conferencing



Main Conference Manager window

The main Conference Manager window is divided into two columns. On the left is the list of people who are currently on-line. On the right is the list of conferences available.

Join an existing conference

To join an existing conference, double-click on the name of the conference, or right-click and choose Join from the pop-up menu.

When you join a private conference that you have not yet been invited to, you will be prompted to enter the passcode for the conference.

The creator of the session will have assigned an access code for the session. Enter that access code now. DO NOT ENTER YOUR SYSTEM PASSWORD. The session access code is analogous to a passcode as typically used in a teleconference. It applies only for the specific session and is assigned by the creator of the session (referred to as the Convener).

A new Conference Session window will open:

On the right is the main chat area. This is where the text-based conversation takes place. On the left is the Particpants list, showing all the people that are currently participating in the conference.

To start chatting, simply type your message in the composition area (white text box) to the left of the Send button. After you have finished typing in your message, either press <ENTER> on your keyboard or press the Send button.

The video window
The video tool "VIC" is responsible for the receipt and transmission of video data.

Sending video is only possible from computers equipped with compatible video cameras. VIC always displays any incoming video streams associated with the selected conference. By clicking one of the small preview pictures, a larger video window of the selected participant is presented. You may present the video thumbnail images in columns: press '2' on your keyboard to show two columns, '3' for three columns, and so on.

Clicking the Settings (or Menu) button on the main VIC panel presents the VIC Controls Menu used to set the transmission options. Use "Device..." "Port..." and "Signal..." to select the appropriate video device and then click "Transmit" to enable transmission.

If you accidentally close the VIC video window, you can click the Restart Video button to start video again.

Create a conference

Click New Session on the main Conference Manager window to create your own conference session. The following window will appear:

Set the "Subject" field to the name of the conference. Enter the Access Code to be used by those joining the conference and select the Media streams (Video, Audio, and/or Whiteboard). The default is video-only. Audio and Whiteboard are for advanced users.

After setting the parameters for the new session, click Create Session to create the session. As the Convener of the conference, when you leave the session, it will be terminated and all parties will be disconnected from the session (similar to the situaton where the chairperson hangs up a conference call).

Inviting others to join a conference

To invite a party to the conference in which you are participating, click their name on the People list on the left side of the main Conference Manager window to select the party, then right-click to bring up a pop-up menu, and click Invite. The Invite action is only available when you are participating on a conference.

Sharing files

Click the Files button on the Conference Session window of the session you are participating in to open the file transfer window:

On the left are displayed files on your local hard drive. On the right, are files on the Conference Manager server for this conference. Each Conference Session has a unique area on the server for shared files. To upload files to the conference session, use the Browse button and the other navigation tools on the left to locate the file and click the -> button to upload the file. To download a file to your local hard drive, click the file shown on the right and click the <- button (or double-click the file).

Files uploaded to the conference will be avalable to all participants on the conference.

When you are done transferring files, click the Done button. Files remain on the server until the Conference Session is terminated.

Calling a user

The Call feature is a short-cut method of creating a conference and inviting another party all in one step. Click the name of the person you want to call on the People list on the left side of the main Conference Manager window to select the party, then right-click to bring up a pop-up menu, and click Call. The Call action is only available when you are not already participating on a conference.
